Small Business Event Planning: What to Do First

1. Decide upon your target audience before anything else. The first step — before you do anything else — should be to clearly define who your target audience is. From this all the other decisions will fall into place in terms of format, content, prices, location etc. This structured approach will also help you to stay focused on achieving specific goals and not allowing the scope to become too broad or watered down.

2. Make a list of details — everything including lighting and public transportation, to content and refreshments. When you decide to have an event, everything matters. From program content and lighting to transportation and parking — everything counts. And your audience will attribute everything to you and…your brand. Making a list will ensure you don’t overlook things.

3. Have a clear business purpose for holding the event. Before you can begin planning a successful event, be clear on why you are doing it in the first place, because every decision after that should support your main goal. Is it lead generation? Is it to create awareness of your company or a particular product? Is is to develop customer loyalty? Or do you simply want to make money (which is okay too)? And make sure the team is aware of the purpose, so that you don’t have “scope creep.”

4. Watch out for other industry events when scheduling. Check the calendar. Make sure you don’t schedule your event on or too close to holidays or popular vacation times. It’s just as important to check for other events that your target attendees might be going to.

5. Be flexible with changes in size, location and other details. As you get into the event planning process, you may find that your event changes in size, location, and many other ways than you originally envisioned. This is natural and perfectly fine as long as you don’t lose sight of the reason you’re doing all this work in the first place. Some flexibility is necessary.

6. Know your limitations. We all know the goal is to throw a great live event. To that end, we also have to be aware of what we can or cannot realistically do — be it budget … or time-wise. If you decide to throw a live event in a week’s time, plan for a more intimate affair. If it’s a big event, prepare several months ahead. If the budget is small, you may have to counterbalance with creativity and a lot of do-it-yourself work.

7. Create SMART goals. Always start with strategy. Just like building any business, great events start with a strong, thoughtful and measurable strategy. Live events are an amazing way to share your brand, connect with your target market, get feedback on your product (and more!), but you need to know what you are trying to achieve. Stick with SMART goals and outline what you are aiming for. Then make sure that you proceed in line with reaching these goals.

2) Create a Timeline

Besides the budget, a timeline is the most important part of planning a wedding as an event professional. Develop a reasonable timeline, fit to your schedule, and map out due dates on a calendar. You will find well-known wedding websites provide checklists with timelines for you, so be sure to follow these when planning out your calendar. Depending on the timing of the wedding, you will want to ensure you have ample time to plan and insert orders that can take more time than others.

3) Find Event Tools Fit For You

Event tools are an event planners best friend! Besides online wedding checklists, look for event apps with budgets, checklists and reminders that are used for weddings, or if you prefer to use your go-to event planning apps, those will work just fine.

Some planners prefer to work in excel, while others prefer the old school method of writing out every expense paid for an event – it’s up to you, but be sure to track all expenses at the end of the day to help make your planning efforts run smoothly!

4) Choose the Important Details

Once you have planned out the budget and timeline of the wedding, it’s time to figure out the most important details of all. The size of the wedding will determine more from a budget perspective, so first, create a guest list and stick to it as close as possible.

Once you have completed the list, move on to selecting a venue, wedding date and theme. The process for selecting the venue is very similar to selecting event venues for other types of events.

You will want to meet with venue owners, get a list of what they provide and do not provide on the day of the wedding, have them send you a formal quote, and find out what dates they have available that work with the timing you are working towards. Couples are constantly getting engaged, so finding the weekend that works best for you is sometimes hard to do, but most importantly, the details and service you receive at the venue are crucial.

Review the contract (and all vendor contracts) before signing with the venue, and be sure to ask if you can stop by when they may be having a party so you can see what the venue will look like decorated and full of guests! As a planner it’s always important to see your event space in action before you make any commitments.

5) Design with Quality

You may have several design resources you use for events on a yearly basis, and if one comes to mind for a wedding, be sure to reach out and ask for their help to design signs, invitations, programs and save the dates!

The growth potential convinced Ratan Tata, former chairman of the Tata Group, to invest in Bangalore-based online jewellery store BlueStone last year.

Jewellers are tying-up with Amazon.com Inc., Flipkart Online Services Pvt. and Ebay Inc. after the government last year eased import curbs on gold bars and coins. The total online retail market in India will be about $6 billion this year because of free delivery and heavy discounting, Gartner Inc. estimates. That may grow to $22 billion by 2018, CLSA Asia Pacific Markets predicts.

“Indian consumers prefer to touch and feel the jewellery before buying, but the change in consumer behaviour will happen quite fast,” Gitanjali’s Chairman Mehul Choksi said in a phone interview. ‘We have tied up with all the major online platforms and we are always looking for more tie-ups.’’

Gitanjali, which sells its diamond and gold jewellery through more than 4,000 points of sales spread across India, the U.S., the Middle East and Europe, uses a battery of Bollywood actors including Shah Rukh Khan and Katrina Kaif as brand ambassadors.

Offering Convenience

The Mumbai-based company, whose sales declined 24 percent to 124.36 billion rupees ($2 billion) in the year through March 2014 because of import restrictions, now retails through platforms including Amazon.com, Flipkart.com, EBay, and Jewelsouk, Choksi said.

Established retailers are looking at online stores already selling jewellery, besides promoting their own, according to Gaurav Singh Kushwaha, founder and chief executive officer of BlueStone, which sells everything from solitaires, rings, earrings, pendants, bangles and bracelets.

“Online retailing offers convenience from the comforts of an individual’s home and moreover allows other incentives like giving them time to decide, not make it obligatory for customers to purchase at their very first visit,” Kushwaha said. “Offline jewellers realize the potential and the need for being present online.”

The online jewellery market may be worth as much as $2.5 billion in the next five to 10 years, BlueStone estimates. Currently it accounts for less than 0.1 percent of the $55 billion jewelry market, it says.
